AI automations almost always fail for the same reason: they require moving your information to a new platform before delivering a single result. toBee.team starts from the opposite premise. The agents do not ask you to abandon your email, your CRM or your document manager: they work inside them, where your company's information already lives.

The approach

No migrations, no change of tools

An agent that only generates text changes nothing. The difference between a conversational assistant and a team of agents that genuinely operates lies in access: reading a real email, consulting a real customer record, filing a real document. That is why the integration layer is not an add-on to toBee.team; it is the condition for the rest of the system to be of any use.

Your team does not learn a new tool

People stay in Gmail, in Outlook, in Teams or in Slack. What changes is that part of the work is already done when they get there.

There is no migration project

No historical data is dumped and no information is duplicated in a parallel system. Every piece of data keeps living where it lives today.

Reversing course is straightforward

Withdraw an access and the associated automation is withdrawn with it. No intermediate system is left behind for your operation to depend on.

What happens with tools that are not on the list

The catalogue in the next section covers the usual integrations; it is not a limit. Any tool with an available API is connected to measure during the technical integration phase of the project, following the same pattern as the rest. If your company works with a sector-specific ERP, an in-house management program or an internally developed application, it is assessed in the initial diagnosis and you are told before signing whether it can be connected and to what extent.

These are the tools that toBee.team's agents routinely operate on today, grouped by type of use. In every case the work is done on your company's own account, with the permissions you define.

Email and calendar: Gmail, Outlook, Google Calendar

The agents read the incoming messages you authorise, draft replies, sort correspondence by subject or sender, extract the information held in attachments and prepare meeting invitations against the real availability in the calendar. The control rule is the usual one: they prepare the send, they do not send.

Documents and files: Google Drive, OneDrive, Dropbox, Notion

This is the company's documentary memory: quotations, drawings, contracts, templates, minutes. The agents locate the relevant document before answering, generate new versions from your templates and file whatever is produced in the appropriate folder, following the naming convention your organisation already uses.

Internal communication: Slack, Microsoft Teams, WhatsApp

These are the channel through which instructions are given and notifications arrive. You ask for what you need in natural language, in the same channel where you talk to your team, and you receive the result or the approval request there. There is no other application to open in order to direct the hive.

Office software: Google Workspace, Microsoft 365, Excel

The agents read spreadsheets, cross-reference data between them, update tracking tables and generate documents and reports in the format your company already uses, without converting anything to a proprietary format.

CRM and ERP: Holded, GoHighLevel, HubSpot

This is where AI process automation stops being a promise and starts having accounting and commercial effect: creating and updating contact records, moving opportunities between stages, recording invoices and purchase documents, reconciliation and the preparation of status reports. It is also the most sensitive layer, and for that reason it is where approval rules are defined in the greatest detail during the design phase.

Automation platforms: n8n, Zapier, Make

If your company already has workflows in place, they are not thrown away: the agents invoke them as one more tool. n8n is also toBee.team's own execution layer, the mechanism by which a decision taken by the orchestrator becomes an action on a real system.

How the connection is made

Each workflow is exposed to the agents as a set of available actions, through a dedicated MCP (Model Context Protocol) server per client or service. The agent does not manipulate the system blindly: it invokes a specific, defined action, and that action is executed against the target system.

  • Each connection is reusable across agents and across projects. What is integrated once serves the whole hive.
  • Each action is bounded. An agent can only do what its set of actions allows, and what it allows is defined by you.

Before touching any real data, every integration is validated in a test environment with traceability of which agent did what.
